THE ROLE

The Comfort Advisor position at Gold Eagle Services is unlike the same title at any other HVAC company in Austin. GES operates at the intersection of HVAC, indoor air quality, and mold remediation. A customer calling about a broken system might have a mold problem, a ductwork problem, a humidity problem, and a system problem – all at once. The CA’s job is to walk in, see all of it, explain all of it, and become the person that customer trusts to fix it. That trust is what separates GES from every other option they have.

The CA is the first real impression of what GES is capable of. How that first visit goes determines whether the customer sees us as another HVAC company or the only team that actually understood their problem.

THE FIRST VISIT

The first visit is everything. The estimate, the follow-up, and the close are all downstream of how well the CA ran that first conversation.

The customer should leave feeling three things – informed about what is actually wrong, trusted because the CA told them things no one else did, and confident that GES is the right team to fix it.

For all residential jobs that are not genuinely complex – system replacement, box replacement, straightforward ductwork or IAQ – the estimate should be built and presented in the home before the CA leaves. The exceptions are jobs that require mold remediation coordination, full ductwork replacement combined with a system and dehumidifier, or any scope where a third-party inspection needs to happen before GES can finalize numbers. Those are the exceptions – not the rule.

The goal is 90% of straight-forward residential jobs quoted on the first visit. Every estimate that goes home with the customer that day is an estimate that does not sit in a queue for three days while the customer gets two more quotes.

ESTIMATE TURNAROUND

When a follow-up estimate is required, it should be sent within 48 hours of the visit.

The automated follow-up system sends reminders to the CA at 24 – 48 hours after every visit. Those reminders exist because deals go cold and other companies get back in the door when estimates are slow. Treat the reminder as a hard deadline, not a nudge.

DIFFERENTIATING GES

The customer will get other quotes. The CA’s job is not to prevent that – it is to make sure that by the time those quotes arrive, the customer already knows what they are going to say.

The CA should tell the customer the full truth about what is wrong – not as a tactic, but because they deserve to know and because no one else is going to tell them. When the customer gets those other quotes and they say exactly what the CA said they would, GES wins without a follow-up call.

WORKIZ – DOCUMENTATION STANDARDS

Workiz is the system of record for every customer interaction, estimate, and job. The CA owns the record at every stage. The quality of what goes into Workiz on the first visit determines how well every person downstream – inside sales, the install team, management – can do their job.

Before the appointment – review the customer record, note service history and prior interactions. Arrive knowing who you are walking into.

After the appointment – document walkthrough findings, log all equipment identified (make, model, age, condition), note anything the customer declined, upload photos of equipment, attic, ductwork, and access points, record any customer concerns or objections.

Estimate creation – built in Workiz using current pricebook pricing. Off-book pricing requires management approval before being presented to the customer. Every line item must reflect what was actually observed on site.

Field documentation forms – GES has specific forms for use on site. These forms help capture the material and scope information needed once a job is sold. The more that is documented on the first visit – equipment, duct conditions, access points, material needs – the more prepared the install team is and the more confident the customer becomes. A CA who walks out of an attic and immediately starts capturing what they found is a CA who demonstrates that GES operates differently than everyone else.

Job handoff – before scheduling for install, the Workiz record must include complete scope, equipment specifications, access conditions, and anything the install team needs to know before arriving on site. An incomplete handoff is the CA’s responsibility to resolve before install day – not the install team’s problem to figure out when they get there.
