Vehicle Care & Maintenance Standards

Our vehicles are among our most visible and valuable assets. Keeping them in excellent condition ensures safety, reliability, and professionalism. Customers will form an opinion about our company based on what they see inside the cab and the moment the rear doors are opened. Every team member who drives a Gold Eagle vehicle is responsible for its condition daily, while Monday morning inspections establish a higher weekly standard verified by management.

DAILY RESPONSIBILITIES (BEFORE EACH SHIFT)

These items are the technician’s responsibility every workday before driving.

1. Pre-Shift Walk-Around Inspection

Perform a quick visual check before leaving:

  • Tires properly inflated; no cuts, bubbles, or excessive wear
  • Headlights, brake lights, and turn signals functioning
  • No visible oil, coolant, or fluid leaks under vehicle
  • Windshield and mirrors clean and unobstructed
  • Vehicle interior free of trash and loose items

Do not operate a vehicle with known safety defects.
Report issues immediately to your supervisor or fleet manager.


2. Daily Cleanliness & Cab Standards

  • Remove trash, drink containers, and packaging at the end of each shift
  • Secure loose items so nothing can shift while driving
  • Cab must remain clean, organized, and professional
  • No smoking, vaping, or eating meals inside company vehicles

Customers see the cab. A clean cab signals professionalism and attention to detail.


3. Parking & Security (Daily)

  • Lock doors whenever the vehicle is unattended
  • Never leave keys in the ignition or visible inside
  • Secure valuable items out of sight
  • Do not park on lawns, in fire lanes, or blocking driveways
  • Park thoughtfully around customers and pedestrians

Report theft, damage, or vandalism immediately with photos to the Office Manager.


MONDAY MORNING STANDARDS (WEEKLY VERIFICATION)

Monday inspections set the baseline condition for the week.
Technicians prepare the vehicle. The Service Manager verifies.

4. Vehicle Condition – Monday Checklist

Vehicle must meet all of the following:

Exterior

  • Reasonably clean
  • Company logos visible and legible
  • Doors, hood, and rear access open and close properly

Tires, Glass & Lighting

  • Tires inflated and in acceptable condition
  • Windshield free of cracks in driver’s view
  • Mirrors intact and adjusted
  • All exterior lights operational

Interior – Cab

  • Clean and trash-free
  • No loose items
  • No odors or unprofessional conditions

Interior – Rear / Cargo Area

  • Clean and organized
  • Free of trash and loose debris
  • Large items secured
  • Doors operate correctly

Customers see the rear of the vehicle when doors are opened. What they see in that moment reflects directly on the company.

Safety & Compliance

  • Seatbelts functional
  • Fire extinguisher present and secured
  • First-aid kit present
  • Registration, insurance, and inspection current

Vehicles not meeting Monday standards may be removed from service until corrected.


MAINTENANCE REPORTING (ONGOING)

If you notice warning lights, abnormal sounds, handling issues, or damage:

  • Notify management immediately
  • Document mileage and symptoms
  • Do not attempt unauthorized repairs
